Personnel documentation of employees

Polish law regulates in detail employers’ obligations with regard to keeping documentation about hiring of employees.

The scale of obligations is so significant that complete security – without a unit’s management being exposed to sanctions imposed by the National Labor Inspectorate – can be provided only by entities highly specialized in that field.

The scope of work connected to personnel documentation includes the following issues, for example:

  • keeping employees’ personal files,
  • keeping employees’ leave records and settling dimensions and limits for leave, as well as keeping records of other absences,
  • keeping track of the ending dates of employment agreements, the validity of periodical audits and work safety trainings,
  • engrossing documents connected with employment process as well as with the completion of employment relations with employees.
